A pump enquiry needs more than a hose diameter. The fluid, route and required duty determine the questions a supplier must resolve. Collect the site information, distinguish measurements from estimates and ask the supplier to confirm the proposed system against the actual task.
Identify what is being moved
Describe the fluid and any known solids, sediment or other characteristics. Explain how that information was established. If the contents are uncertain, say so and ask which assessment is needed before choosing equipment.
Do not assume all water can be handled or discharged in the same way. The project team must confirm destination acceptance and any site or environmental requirements through the appropriate responsible people. Pump hire does not itself authorise a discharge.
Describe the route and duty
Provide the source, destination, elevation information and proposed hose or pipe route. Include route length, access constraints and the required operating period. Ask the supplier to identify what further measurements are needed to assess the duty.
Separate a desired transfer time from a confirmed flow requirement. The supplier should explain the proposed arrangement and its assumptions. Keep hoses, fittings, strainers and other required equipment in the same scope as the pump.
Example: a longer discharge route
The original enquiry assumes a short route to a holding area, but the approved destination moves farther away. Tell the supplier before dispatch. Additional hose is not the only potential change: the system duty and equipment selection may need to be reassessed.
Update the route sketch and identify who has approved the destination. Ask for the revised package and commercial impact in writing. Keep the superseded sketch out of the delivery instructions to avoid two conflicting versions on site.
Plan monitoring and support
Ask who monitors the system, replenishes fuel where applicable and responds to interruptions. Explain whether the task can pause or needs continuity arrangements. Record the supplier's support offer without assuming a guaranteed response time.
Confirm how the equipment will be cleaned, returned and assessed after use. If the fluid or operating conditions change, notify the supplier before relying on the original selection. Keep the duty brief available for the team managing the hire.
