How the calculation works
Total = chargeable days × daily rate + delivery + collection + other agreed charges + max(0, expected total hours − included total hours) × excess-hour rate. No GST is added: use all figures inclusive or all exclusive of GST and label your saved comparison accordingly.
A worked example
The example values are invented, not market rates. A costs $2,000 in hire, $900 in transport, $100 in extras and $250 for five excess hours: $3,250. B costs $2,250 in hire, $500 in transport and $100 in extras, with no excess hours: $2,850. B’s higher daily rate still produces a $400 lower total.
What this worksheet cannot price for you
Minimum periods, cancellation terms, damage liability, standby, operator travel and variable fuel use must be resolved in the actual offer. Add known amounts to other agreed charges. If a material charge is unknown, keep the comparison provisional instead of entering zero. Different machine configurations and hire models may produce different output even at identical prices.
Before accepting the lower total
Confirm the named unit, attachments, dates, dispatch depot, operating allowance, support arrangements and charging cut-off. Ask both suppliers to answer the same brief. The tool does not transmit an enquiry, reserve equipment or verify either quote.
